Privacy Policy

qivo quest (“qivo,” “we,” “us”) is a homework and motivation app. A parent or guardian creates an account and adds one or more student profiles. This policy explains what we collect, why, who we share it with, and the choices you have.
Who qivo quest is for
qivo quest is designed for students 13 and older, and general availability is limited to that age. During our current invite-only testing, a parent or guardian may set up a profile for a younger child only with our direct written consent. To have any profile removed, email onthedotplanning@gmail.com.
The parent or guardian owns the account and controls every student profile under it, including all of the privacy choices described below.
What we collect
Account information
- The parent’s email address and a password (stored hashed).
- Subscription and billing status. Card details are handled by Stripe; qivo never sees them.
Student profile
- First name or nickname, an age band (under 13 / 13–17 / 18+), and the student’s chosen world and avatar.
- An optional short PIN for “student mode,” stored hashed.
Schoolwork
- Assignments — title, notes, due date, subject, and project steps — whether typed in, scanned with the “Genie” helper, or imported from a calendar link you paste in.
- Photos or screenshots a student scans with Genie. These are re-encoded and stripped of location and camera metadata before storage.
Activity
- What got done and when, taps on the “I’m stuck” helper (and which kind of stuck), focus-sprint use, world switches, and check-in views.
- Coins earned, streaks, collected items, and game scores.
- Occasional short survey answers about how homework is going.
Calendar integration
- A read-only calendar link (an
.icsURL) you paste in from Canvas, Google Classroom, a district portal, or similar. qivo does not log in to your school system, does not store a school password, and receives only calendar events — never grades. The link is encrypted before it is stored.
How we use it
- To run the board — show one assignment at a time, track progress, award coins and unlocks.
- To power the Genie helper and the weekly parent check-in (see “AI features” below).
- To send the check-in email and reminders you turn on.
- To operate, secure, debug, and improve qivo quest.
We do not use student data for advertising, we do not sell or rent it, and we do not build or share a commercial profile of any student.
AI features
Genie (assignment scanning and project breakdown), the AI time estimate, and the weekly coaching note send limited information to our AI provider, Anthropic, to generate a response:
- The text of the assignment being worked on, and — for a scan — the photo or document.
- For the weekly note: counts and patterns from the week (how many assignments, which subjects, how often “stuck” was tapped). No free text.
The student’s name, grades, and history are not sent. Under Anthropic’s commercial terms, this data is not used to train AI models and is retained by them only briefly for trust-and-safety purposes. Students cannot chat freely with the AI. A parent can turn AI features off for any student on the Privacy & data page.
Who we share it with
We use a small number of service providers who process data only to provide their service to us:
- Supabase — database, authentication, and file storage.
- Vercel — website hosting.
- Anthropic — the AI features described above.
- Stripe — subscription billing.
- Resend — sending the check-in email.
We may disclose information if required by law, to protect someone’s safety, or in connection with a merger or acquisition (you would be notified).
How long we keep it
- Account and student profiles: while the account exists.
- Completed assignments: about 12 months, then removed.
- Activity events: about 180 days, then removed automatically.
- AI coaching notes: about 60 days.
- The calendar link: until you disconnect it, then deleted.
When you delete a student profile or your account, we remove the associated data promptly.
Your choices and rights
From the Privacy & data page inside the app (board menu → Privacy & data), a parent can:
- See what qivo stores about a student.
- Download a student’s full data as a file.
- Turn AI features on or off.
- Disconnect a calendar and delete the stored link.
- Delete a student profile and everything under it.
To ask a question, request access, or request deletion by email, contact onthedotplanning@gmail.com. Depending on where you live, you may have additional rights (to access, correct, delete, or port data, and to appeal a decision); we honor these for all users.
Security
Data is encrypted in transit and at rest. The database enforces row-level access so one family’s data is not reachable by another. The calendar link is separately encrypted. No system is perfectly secure; if a breach affects your data we will notify you and the relevant authorities as required by law.
Schools
qivo quest is currently sold to families, not schools or districts. If we offer a school version in the future it will have its own agreement and this policy will be updated.
Changes
We will post any changes here and update the date above. For material changes we will also notify account holders by email.
